Salon websites with online booking: what you need

A customer discovers your salon on Instagram, opens your website and wants to book a colour appointment for Saturday. They need to know how long it takes, who can provide it and whether the appointment is confirmed. A website with online booking should answer those questions and fit the salon’s working schedule. This guide covers what to include, when an existing tool may be enough and what to ask before commissioning custom booking software.

By Numuno Digital, an independent web design and marketing studio in Marbella.

Before the calendar: information customers need

A booking calendar does not replace clear service information. Use names customers recognise, explain approximate duration and show a price or how it will be determined. If a treatment requires an assessment, explain how to request one. A fixed price for work that depends on an assessment can create an expectation the team cannot meet.

Include photographs cleared for publication, location, opening hours and a contact route for questions. Make booking accessible from service pages and usable on a phone. Prepare a list of treatments, the staff who provide them and conditions that affect their duration or availability. That information provides the foundation for the schedule.

The journey: service, professional and time

A simple flow can start with a service, continue with a professional and finish with a time. Offer ‘no preference’ where the business can assign any available team member. Then request the necessary contact details and show a summary of the service, professional, date, time, duration and defined price. Customers should be able to correct a selection before submitting.

For example, if a haircut takes 30 minutes and preparing the station takes another 10, an 11:00 booking should not allow an incompatible appointment at 11:30. This illustrates a scheduling rule rather than recommending a duration for every salon. Preparation, breaks, holidays and treatments requiring several resources must reflect the way your business works.

A booking request and a confirmed appointment are different states

If a form only sends a request to the team, label the action ‘Request an appointment’ and explain that confirmation is pending. If the tool checks availability and reserves the slot when the operation finishes, it can confirm a booking. The final screen and customer message should describe what actually happened.

Before launch, check what happens when two people select the same time, someone abandons the process or the team moves an appointment. Clarify cancellations, rescheduling and who receives notifications. Reminders, payments and deposits are additional functions to define explicitly rather than assume every booking system includes.

Integrate a platform or build custom bookings?

If your current scheduling tool meets your needs, first check whether it can be linked or embedded in your website. That may let the team retain one working calendar. Your own website can still present your brand and services while bookings are handled by an external tool.

Custom development can make sense when existing tools cannot support required rules, such as combining resources, assigning specific treatments to particular staff or accommodating several locations. Customisation does not automatically mean lower costs or no subscriptions. Compare scope, maintenance, hosting, messaging and integrations before deciding.

Connect Instagram, Google and WhatsApp with the same schedule

Choose a destination that matches the message you advertise. If a post promotes colouring, help visitors find that treatment in the booking flow. A general salon promotion can introduce the main options. Keep WhatsApp available for questions and assessments, and decide how appointments agreed there enter the shared schedule.

Google lets businesses add their own booking link to a Business Profile or work with supported providers. That does not mean every website includes any particular Reserve with Google integration: availability depends on the solution. Google’s documentation also distinguishes provider booking reports from custom-link reporting. Measure the website’s journey separately when assessing its results.

What to check in a demo before commissioning

Use your phone to try a routine appointment, a service requiring an assessment and a fully booked day. Check that the choices are clear, going back preserves selections and the summary matches them. Then ask how staff view, move or cancel appointments. Their working experience matters alongside the customer journey.

Clarify account access, data export and responsibility for service, price and schedule updates. Request written details of included functions, recurring costs and support after delivery. A visual demonstration helps assess design and navigation; actual availability, notifications and scheduling rules must be checked in the operational version.

How to tell whether the new journey is helping

Distinguish page visits, booking starts, requests received, confirmed appointments and appointments attended. Clicking ‘Book’ is not yet an appointment. If many people start and few finish, review the steps, availability and errors. If requests arrive but are not confirmed, review follow-up. Compare equivalent periods and note promotions or schedule changes that may affect the result.

Numuno Digital offers an interactive website and booking example for hair salons and barber shops, plus a demo to assess the fit for your business. The proposal should start with your services and your team’s working process. The aim is to make the next step easier for interested customers and manageable for the salon.

Your checklist before starting.

  • Defined services, duration, pricing and assessment requirements.
  • Staff, resources, breaks and closures included in scheduling rules.
  • Clear distinction between pending requests and confirmed bookings.
  • Cancellations, changes and notifications reviewed with the team.
  • A coordinated schedule for website, phone and WhatsApp appointments.
  • Written account access, maintenance and cost arrangements.
  • Mobile testing and confirmed-appointment measurement alongside clicks.
