A real estate website: listings, enquiries and what to put in the brief

An agency website should represent your business and let someone enquire about a particular property without losing context. Before choosing a design, decide who maintains the inventory, what visitors can see and how each enquiry reaches your team. These decisions make proposals easier to compare.

By Numuno Digital, an independent web design and marketing studio in Marbella.

Decide what the agency needs its website to do

A presentation website and a property catalogue have different scopes. The first can explain your services, area and working process. The second needs to manage properties, photographs, availability and enquiries associated with individual listings. Write down the main journey before asking for a quote.

Buyers and property owners need different information. Buyers want to review stock; owners want to understand how you value and market a property. Both can have a place on the website, with clear explanations and contact routes.

If you are starting without publishable stock, present the agency honestly. A demo can show clearly labelled illustrative content. Do not publish invented properties as genuine instructions.

Prepare a property record before designing the catalogue

Choose a property you are authorised to advertise. Gather its internal reference, transaction type, location, publishable price and conditions, relevant features, availability and approved photographs. State which details are missing rather than guessing.

Agree which facts appear in the results and which belong on the detail page. A listing should support comparison; its full page can bring together the gallery, description and a contact action that retains the reference. Visitors should be able to share a stable property link.

Decide who changes reserved, sold and withdrawn states and what a visitor sees when opening an old link. Respect publication permissions and avoid presenting unavailable stock as currently available.

Choose filters that fit the stock

Start with distinctions customers actually use: sale or rent, area, property type and budget. Add bedrooms or other features where the records are complete and the selection is useful.

Test the complete journey: apply a filter, open a property and return to the results with the selection retained. On a phone, check that filters can be opened, cleared and closed, and that an empty result is understandable.

Google warns that combinations of filters can create large numbers of URLs and consume crawling resources. Ask the provider which pages should be discoverable in search and how low-value combinations will be handled. Every temporary selection does not need a separate SEO page.

Keep the property reference with the enquiry

A form or WhatsApp link can include the selected property's reference and address. Verify that these reach the person handling enquiries, rather than only appearing on a confirmation screen.

Choose the information needed to begin a conversation. A name, reply channel and reason for contacting may be enough initially. Gather additional details when appropriate and agree the information shown to visitors with the person responsible for privacy.

Distinguish a viewing request from a confirmed appointment. If an owner or agent must approve availability, explain that the team will confirm it. A calendar displaying slots does not establish permission to visit.

Agree who responds and records the next step. An enquiry, qualified contact, viewing and completed transaction are different outcomes. Keeping those measures separate helps identify where the process needs attention.

Define the relationship between the website, editing panel and CRM

A small inventory may be maintained through an editing panel. Connecting existing agency software requires a review of that product, its documentation, permissions and available data.

A one-off file import and a scheduled synchronisation are different services. Ask which system is authoritative, when changes reach the website, how failures are detected and how withdrawals are handled.

Include initial data loading, mapped fields, training and any external licences in the quote. A reference to CRM does not establish that every portal connection, sales process or WhatsApp automation is included.

Photographs, mobile use and search foundations

Use owned or authorised material and review what it reveals. Documents, people or other details may need attention before publication. Label recreations so they cannot be mistaken for the property's actual condition.

Ask for suitable image quality and device-appropriate sizes. Google recommends relevant surrounding context and descriptive alternative text. An attractive gallery still needs to leave the page and contact route usable.

Google uses mobile content for indexing and ranking. Check property facts, descriptions, links and contact actions on a phone. The arrangement can change while the main information remains available.

Agree descriptive titles, links to property pages and consistent URL handling. For a replacement website, map old addresses to new destinations and review necessary redirects. Launching a website does not guarantee rankings or replace ongoing SEO.

Compare scope rather than the headline price

Consider an independent agency with a small stock in one area. This is an illustrative scenario, not a client or measured result. Its first priorities might be an updated catalogue, a shareable page for each property and WhatsApp enquiries carrying a reference.

The proposal should explain the pages, agency-supplied material, initial data loading and ongoing update process. If another quote adds a CRM, languages or a calendar, compare its responsibilities and continuing costs.

Before launch, test with an authorised real property: change a price, withdraw a test listing and send a controlled enquiry to the responsible person. This checks functionality; it does not prove that a particular number of customers will follow.

Prepare a concrete brief for Numuno Digital

Send your current website address if you have one, your working area and a property record you can publish. Explain whether you need an agency presentation, catalogue, viewing enquiries or a software connection. You do not need to share passwords or private client information for the first discussion.

We agree pages, functions, content and update responsibilities in the proposal. Catalogue management, an editing panel, integrations, languages and maintenance are defined for the project. SEO has its own agreed scope where required.

Check domain control, hosting, handover access, support and exit arrangements as well. A proposal is easier to assess when both the deliverables and your team's continuing tasks are clear.

Frequently asked questions

Do I need a CRM to have a website? Not always. It depends on inventory size and how you handle enquiries. Publishing stock and managing the whole sales process are different requirements.

Does an agency website replace property portals? It provides an owned presentation and contact channel. You can combine channels; a website does not guarantee their reach or a particular sales outcome.

Can visitors request a viewing through WhatsApp? A link can identify the property. Opening it confirms neither a sent message nor a booked viewing; the conversation and availability still need to be checked.
